When a customer calls, the person who answers rarely has the whole story. The last offer is in one salesperson's email, the visit notes are in a notebook, and the follow-up that never happened is in nobody's calendar. Rental units have the same problem: the contract is in one folder, the maintenance requests in another, and the inspection report wherever the inspector left it. Everything is recorded somewhere, just not in one place or in order.
What a scattered history costs
- A new salesperson asks questions the customer already answered, or sends an offer that was already turned down.
- A promising lead goes three weeks without contact and nobody notices.
- Before renewing a lease, the property manager has to dig through files to find out whether the tenant paid late or reported problems.
- When a dispute comes up, the company argues from memory.
One timeline on each record
Exceed ERP keeps the history on the record itself. A CRM lead has an Actions page that lists its calls, follow-ups, visits, offers and tasks in date order, each with its type, code and dates. A rental unit shows its reservations, rent and sales contracts, collections, handovers, maintenance, fines and inspections the same way.
Nobody has to maintain this list by hand. A document appears on the timeline because it is linked to the lead or the unit, and documents created before the feature arrived are added too.
Where it helps
A salesperson taking over a lead from a colleague can see what was discussed and offered before picking up the phone. A sales manager can check how recently a lead was contacted without asking anyone for a report. A property manager can review a unit's history before a renewal or a sale and give the owner a clear account of each tenancy.
Getting started
If you use the CRM or Real Estate modules in Exceed ERP, the Actions page is there on your leads and rental units after the upgrade. If your customer history still lives in spreadsheets and email, request a demo and we will walk you through it with examples from your own business.
